Place Vendome is seeking a highly organized and versatile individual to join our team in the role of Paralegal cum Executive Assistant. This position offers an excellent opportunity to work in a dynamic and fast-paced environment, supporting both legal and administrative functions.

Job Summary: The Paralegal cum Executive Assistant will be responsible for providing a wide range of support to both the legal team and executive staff. The successful candidate will perform various paralegal tasks, including legal research, drafting legal documents, managing case files, and assisting with client communication. Additionally, they will provide high-level administrative support, managing calendars, arranging travel, coordinating meetings, and handling confidential information.

Responsibilities:

1. Legal Support:

- Conduct legal research and gather relevant case information to assist attorneys in case preparation.

- Draft legal documents, including briefs, pleadings, contracts, and correspondence.

- Assist in organizing and maintaining case files, ensuring all documentation is accurate and up to date.

- Coordinate and communicate with clients, external counsel, and other stakeholders.

- Assist with trial preparation, including organizing exhibits and coordinating witnesses.

2. Administrative Support:

- Manage calendars, schedule appointments, and arrange meetings for the Head of Legal.

- Coordinate domestic and international travel arrangements, including flights, accommodation, and transportation.

- Prepare and review expense reports, ensuring compliance with company policies.

- Handle incoming calls, emails, and correspondence, prioritizing and responding as necessary.

- Maintain confidentiality of sensitive information and documents.

- Assist with general office tasks, such as photocopying, filing, and maintaining office supplies.

3. Communication and Collaboration:

- Serve as a liaison between attorneys, clients, and internal departments, ensuring effective communication.

- Prepare and distribute internal and external communications, including memos and announcements.

- Attend meetings and take minutes, summarizing key discussions and action items.

- Coordinate and collaborate with other administrative staff to ensure smooth office operations.

- Foster positive working relationships with colleagues and clients, promoting a professional and welcoming environment.

4. Requirements:

- Bachelor's degree in a related field or equivalent work experience.

- Proven experience as a paralegal or legal assistant, preferably in a law firm setting.

- Strong knowledge of legal terminology, procedures, and research techniques.

- Proficient in using legal research tools and databases.

- Excellent written and verbal communication skills, with fluency in Arabic and English.

- Exceptional organizational and time management abilities.

- Proficiency in Microsoft Office Suite and other relevant software applications.

- Ability to handle multiple tasks simultaneously, prioritize effectively, and meet deadlines.

- Discretion and integrity in handling confidential information.

- Strong attention to detail and accuracy
